Website privacy policy

Who we are

This website is operated by CampusTip (“we”, “us”). For the personal data described in this policy we decide how and why it is used, so we are responsible for it (the “Data Fiduciary” under India's Digital Personal Data Protection Act 2023). You can reach us about anything in this policy at sales@campustip.com.

What we collect

You can browse this website without telling us who you are. The only personal data we collect directly is what you type into the request-a-demo form or the quote request form on the pricing page:

• your name and work email address, and your phone number if you give one on the quote form;
• your school, district or institution, and its country (India, the United States or other);
• your role (for example leadership, IT or transport);
• the approximate number of students, as a range;
• your message, if you write one;
• for a quote request, the features, add-ons and options you selected (such as the type of institution, number of campuses, deployment and preferred start date); and
• the fact that you ticked the consent box, with the time and the version of the wording you agreed to.

We do not store your IP address, browser details or any tracking identifier with your request. While the form is being submitted, your network address and email address are used briefly, in memory only, to limit repeated submissions and block spam.

How we use it

We use your details only to respond to your request: to arrange a demo, answer your questions or send you a quote. When you request a quote, we also email you one copy of your selection at the address you entered. We rely on the consent you give with the checkbox on the form, and you can withdraw it at any time (see Your rights).

We do not sell your personal data, we do not use it for targeted advertising, and we do not add you to a mailing list.

Who we share it with

• Our sales team and our authorised partner. Enquiries are sent by email to the CampusTip sales team and its authorised sales and implementation partner(s). They use it only to respond to your enquiry, for example to arrange a demo or prepare your quote, and for no other purpose.
• Not kept on the website. Your request is not listed anywhere in the website or the CampusTip app, and demo and test accounts of the CampusTip service never see it.
• Our email service. The notification to our sales team, and the copy of a quote request we send to you, go through the email service provider we use to deliver mail, which handles them on our behalf.
• When the law requires it. We may disclose information if we are legally required to, for example in response to a valid order from a court or government authority.

We do not share your request with schools that use CampusTip, with advertisers or with data brokers.

How long we keep it

The website keeps your request only long enough to deliver it by email. It is deleted as soon as the email to our sales team (and, for a quote request, the copy to you) has been sent. If sending fails, the website retries for up to 7 days and then deletes the request whether or not it was delivered.

The emails themselves are kept in the mailboxes of our sales team and our authorised partner under their own retention practices, for as long as needed to respond to your enquiry and manage any follow-up. You can ask us to delete them at any time. If your institution goes on to become a customer, the contact details needed to manage that relationship are then kept under our agreement with the institution.

Cookies and similar storage

This website has no analytics, advertising or social-media trackers, and it loads no scripts, fonts or videos from other companies. Our demo videos are hosted on our own servers. Because of this we do not show a cookie banner. The only things your browser may store are strictly necessary for the site to work:

• Display preferences: your light or dark theme choice, and your time-zone setting if you change it, kept in your browser's local storage.
• Sign-in session: only if you sign in to the CampusTip app. A secure, HTTP-only session cookie and a session token in your browser keep you signed in; they are removed when you sign out or the session ends (or kept on that device only if you choose “Remember me”).

You can clear this storage at any time in your browser settings.

Server logs

Like most websites, the servers that deliver this site keep limited technical logs to keep it secure and working: the IP address of the request, the date and time, the page or file requested, the response status and the browser type (user agent). These logs are not linked to your demo request. We use them only to detect and investigate security incidents, abuse and faults, and we keep them for as long as our security policy requires (currently up to 400 days), after which they are deleted.

Your rights

You can ask us to:

• tell you what personal data we hold about you and give you a copy;
• correct or update it;
• delete it; or
• stop using it, by withdrawing your consent.

Email sales@campustip.com from the address you used on the form, or tell us which request you mean. We may ask you to confirm your identity first. We will respond within a reasonable time and within any deadline set by the law that applies to you.

India. If you are in India, you have the rights given to Data Principals by the Digital Personal Data Protection Act 2023, including access, correction, erasure, grievance redressal and nominating someone to exercise your rights. If you are not satisfied with our response to a grievance, you may complain to the Data Protection Board of India.

United States. If you live in a US state with a consumer privacy law, you may have rights under that law, such as to know, correct or delete your personal data and to opt out of its sale or use for targeted advertising. We do neither, and we will not treat you differently for using your rights.

Children

This website is not directed at children. The request-a-demo and quote request forms are meant for school staff, administrators and other decision-makers enquiring on behalf of an institution, and we do not knowingly collect personal data from children through it. If you believe a child has sent us their details, email sales@campustip.com and we will delete them.

Data inside the CampusTip service

Schools, districts, colleges and universities use CampusTip to manage their own records about students, families and staff. That data is processed on behalf of each institution, under the institution's agreement with us and its own policies, and in line with the laws that apply to it, such as FERPA, COPPA and state student-privacy laws in the United States, and the Digital Personal Data Protection Act 2023 in India.

Each institution provides its own privacy notice to its students, families and staff, and CampusTip shows that notice in the app after sign-in. If you have a question about your data or your child's data in CampusTip, please contact the school or institution first; its privacy contact is shown in the app. You can read more about how the service protects data on our Security and privacy page.

Changes to this policy

We may update this policy, for example if the website changes or the law requires it. We will post the new version here and change the “Last updated” date at the top. If we make a significant change to how we use the details you sent us, we will tell you before it applies.
